Office Manager & Assistant

kessler.vogler is an owner-run company specialising in consultation, selection and recruitment of experts and executives for banks and financial service providers for permanent and temporary positions.

Do you want to develop yourself further, and are therefore looking for a new professional challenge at a bank or financial service provider?

Currently we are recruiting for an individual that has the ability to demonstrate strong business maturity and work efficiently in a fast-paced small office environment. The successful team candidate will be an integral member of the Switzerland Team, based in Zurich City with its reporting line locally and to London.



Responsibilities:
  • Comprehensive and proactive diary management for 3 Relationship & Business Development Managers
  • Liaising with external clients and administrative teams for all meeting logistics
  • Registering external visitors with reception
  • Managing global travel & expenses requests for the whole team
  • Working with an external travel vendor to obtain flight and hotel options
  • Working with client service analysts to prepare, print and bind client documents and presentation materials
  • Entering, amending and keeping client data up to date in Salesforce
  • Handle all mail and filing
  • Keep inventory of office needs and place orders with vendors
  • Responsible for payment of vendor bills
  • Work with the technology support team to ensure that all video conferencing, meeting technologies, and computer applications run efficiently
  • Assist with office budget process
  • Assist with ad-hoc projects

Requirements:
  • Minimum 5 years of banking experience, within asset management (in Switzerland)
  • Advanced proficiency in MS Office
  • Excellent organisational, multi-tasking, and prioritisation abilities
  • Strong interpersonal and communication skills
  • Ability to work independently and as part of a team
  • Strong service orientation and proactive problem-solving skills
  • Ability to work under deadlines and to accomodate last-minutes changes
  • Positive, can-do attitude; Flexibility; Sense of humour
