Responsibilities
- Scheduling and coordinating appointments, meetings, conferences, and conference calls
- Arranging domestic and international travel for team members
- Organizing small events, roadshows for clients, and internal offsites/events
- Coordinating on-site visits and field trips for clients
- Managing team expense reports, processing invoices, and handling reclaims
- Providing administrative support and diary management for Co-Heads and the Leadership team
- General office tasks and administrative support, including office supply management and marketing giveaways
- Collaborating with administrative assistants in Switzerland, sharing best practices, and implementing agreed changes as needed
- Preparing internal reports for management/Board of Directors, maintaining business figures and pipeline, working closely with the Finance team, and supporting projects, business plans, internal and external audits
- Assisting with HR-related tasks such as onboarding/offboarding team members and managing absence planning
- Native German speaker, proficient in English, with French as an added advantage.
