Now, they’re seeking an exceptional Office Manager in Zurich to be the heartbeat of their new office environment.

Your Mission

As the Office Manager, you will be the powerhouse behind seamless office operations and infrastructure. Your role is multifaceted and impactful:

  • Office Management & Infrastructure: Take charge of office organisation including order management (beverages, stationery etc.) and coordinate with external service providers to keep everything running flawlessly. Plan and coordinate team meetings including annual planning sessions. Serve as the first point of contact for internal teams and external stakeholders, embodying professionalism and approachability
  • Operations: Own internal policies and guidelines—ensure they are always current. Manage and update User Access Management with precision
  • Compliance / Legal: Provide vital administrative support for contract filing and document management. Maintain up-to-date KYC documentation, handle KYC enquiries, requests, and maintain logs meticulously. Support company secretarial functions including minutes, audit reports, and manage documentation uploads related to board meetings
  • Finance Operations: Track banking relations for the company and third-party mandates. Handle subscriptions/redemptions efficiently. Take full responsibility for payment processes—from approvals to arranging payments—and review monthly credit card statements ensuring all receipts are accounted for. Manage expense reporting like a pro
  • Executive Support CEO: Masterfully manage the CEO’s calendar while handling various administrative tasks such as hotel bookings and restaurant reservations
  • Events: Organise Trustee/Family meetings with Board members as well as internal events and offsites that energise the team
  • HR Administration: Coordinate personnel changes smoothly while managing monthly absence and vacation summaries accurately
Your Profil

We’re looking for someone who thrives in a demanding environment with outstanding organisational skills, impeccable attention to detail, and a proactive mindset. You communicate confidently at all levels, juggling multiple priorities effortlessly while maintaining a positive “can-do” attitude. Experience in office management or similar roles within financial services or investment environments is highly desirable. Your knowledge of compliance procedures (especially KYC) combined with strong finance operations experience will set you apart.
